Retention Policy
We implement a tiered retention policy:
- Account Data: Account identifiers (Email and UID) are retained as long as your account is active to secure your Pro status and enable account management.
- Media Assets: All project-related media assets on our web platform are automatically and permanently purged after 7 days.
- Analytics & Diagnostics: Analytics and diagnostic data may be retained for up to 14 months for security, performance, and fraud prevention purposes.
We collect information to provide a seamless experience across our Services. This includes:
- Account Information: We use a shared account system. Authentication is via Email or Google Sign-In (Firebase). Registration is only required for Pro upgrades or Credit management.
- Usage Data:
- Web: Creation activities and credit transactions.
- App: Audio playback interactions, playlist management, loop settings, and usage metrics (such as streaks and listening time).
- Notifications: If you set goal reminders, we process locally-managed notification schedules on your device.
- Device and User Identifiers: We collect anonymous User IDs and Device IDs to maintain session security, manage Pro subscriptions, and deliver appropriate advertisements.
- App Stability Data: We collect diagnostics and crash logs to detect bugs, prevent fraud, and ensure the app runs smoothly.
- App Interactions & Personalization: We use your app interactions, such as listening history and streaks, to personalize your user experience and track progression toward your goals.
Audio Content Handling
Subtopia provides a 4-step creation process (Affirmations, Backgrounds, Frequencies). We handle your content as follows:
- Storage, Retention & Personalization:
- Guest Usage (No Account): If you use Subtopia without creating an account:
- Your data (including audio, settings, and usage) is stored locally on your device.
- We do not store this data on our servers.
- You can delete all locally stored data at any time using the "Reset Data" option in the app.
- Account-Based Usage: If you create an account or purchase Pro:
- We store your email and user ID for authentication and account management.
- Certain data may be processed on our servers to enable features such as subscriptions, synchronization, and personalized recommendations.
- App Activity & Personalization: We use your app activity (such as listening history and usage patterns) to personalize features, recommendations, and your overall user experience.
- Content Handling: We do not store user-generated audio content on our servers unless required for temporary processing (such as requested web-based exports), after which it is automatically deleted within 7 days.
- TTS Processing: Text input for AI/Basic TTS is processed in memory to generate audio. AI TTS text is temporarily transmitted to our secure generation servers and is not used for AI model training.
- Media Controls: Playback and system notification controls are managed locally on your device.
How We Use Your Information
- Provide, operate, and maintain our Services across Web and App.
- Secure your "Pro" status or "Subtopia Credits" via shared authentication.
- Analyze usage patterns and app stability (Productivity tracking).

Advertising & Data Sharing

Security & Encryption: All data collected and transmitted by our Services is encrypted in transit using industry-standard protocols.
Information We Use
Subtopia follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this as part of hosting services' analytics.
The information collected by log files includes internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users' movement on the website, and gathering demographic information.
Cookies and Web Beacons
Web Platform: Like any other website, Subtopia uses 'cookies'. These cookies are used to store information including visitors' preferences, and the pages on the website that the visitor accessed or visited. The information is used to optimize the users' experience by customizing our web page content based on visitors' browser type and/or other information.
Mobile Application: Does not use cookies. We use local databases (Isar) and secure on-device storage to maintain your preferences and session.
Advertising Partners Privacy Policies
Third-party ad servers or ad networks use technologies like cookies, JavaScript, or Web Beacons that are used in their respective advertisements and links that appear on Subtopia, which are sent directly to users' browsers. They automatically receive your IP address when this occurs. These technologies are used to measure the effectiveness of their advertising campaigns and/or to personalize the advertising content that you see on websites that you visit.
Note that Subtopia has no access to or control over these cookies that are used by third-party advertisers.
Third Party Privacy Policies
